Patient Intake Specialist

The Patient Intake Specialist shall be responsible for making calls off the intake schedule. They will utilize a

checklist to ensure they capture all patient information needed. He/she shall perform job related activities by

performing the following duties and responsibilities (fundamental job duties) below:

 

Intake Schedule

  • The intake schedule is recorded in Quickbase. The Patient Intake Specialist are responsible for updating the schedule to reflect an accurate status for each call.
  • Initial intake calls are scheduled for New Patients (or follow up patients with new problems) on the appointment schedule 5 business days prior to the patient's DOS. Follow-up calls are scheduled for two (2) business days prior to the patient's DOS. This process is done every day to account for any appointment add-ons day to day.
  • If an intake call is made and the patient is unavailable, a note should be documented in the Comments box on the intake schedule stating so. A note should also be documented in the Comments box if the patient wants to schedule a time for the intake personnel to contact him/her back. If this is the case, the Patient Intake Specialist should change the Status and/or Call Type to reflect it.

Intake

  • The intake process is meant to save the practice and the patient time in the office that would normally be spent with the patient in the exam room with an MA asking questions and documenting answers into the EHR.
  • The Patient Intake Specialist should always have at least the registration form page in front of them so they know what demo/ins/MVA/WC info to take from the patient.
  • The Patient Intake Specialist should be extremely friendly with the patient on the phone, educate them on the intake process and that it will save the patient time in the office, let the patient know that the intake person will be recording the information into the 
  • system for the providers to review before the visit, and be clear with the patient in telling them the different pieces of info that need to be recorded and the different possibilities of answers that are available for documentation in the multiple choice pieces of the system.
  • The Patient Intake Specialist should inform the patient that they will be signing a form in the office to confirm that the information they disclosed is accurate. They can request a copy while at the office to review what they entered and add anything if they'd like. If the patient refuses to disclose the information over the phone, that is fine but they will have to fill out the info while at the office.

Intake Reconciliation

  • When a patient isn't reached by Practicemax for intake, the intake forms are completed in the practice's office and scanned into the patient's chart. The information still needs to get into the patient's chart as discrete data, so the intake staff, at the direction of the intake lead, will be tasked with following up on all patients for which intake wasn't captured over the phone and documenting the intake information in the patients chart in the EHR.

Requirements:

  • At least two (2) years of relevant education is required; Bachelor's degree preferred.
  • International exposure to healthcare BPO industry would be an added advantage.
  • Meet prescribed deadlines and handle multiple projects concurrently.
